Company Equipment
Beyond client machines and warehouse materials, itsTrack also tracks your own company tools and equipment — drills, ladders, test devices, vehicles, and other gear your team uses daily.
What you track
For each piece of company equipment:
- Name and identification number
- Type — tool, device, vehicle, safety gear
- Current holder — who has it right now
- Status — active, in service, lost, retired
- Location — warehouse, with a worker, on a job site
- Loan and return history
Why track company equipment?
- Accountability — know who has what at all times
- No lost tools — reduce replacement costs
- Maintenance planning — schedule service for your own gear
- Job costing — include tool usage in job reports
Checking out equipment
When a worker takes a tool:
- Go to Warehouse → Company Equipment.
- Find the item and click Check out.
- Select the worker and optional job link.
- Save.
The item status changes to With worker — [Name].
Returning equipment
When the worker brings it back:
- Open the equipment record.
- Click Return.
- Add a condition note if needed (for example, "needs calibration").
- Save.
The return is logged in the item's history.
Equipment status
| Status | Meaning |
|---|---|
| Active | Available or in normal use |
| In service | Sent for repair or calibration |
| Lost | Missing — flagged for investigation |
| Retired | No longer in use, kept for records |
History and audit
Every checkout and return is logged:
- Date and time
- Worker name
- Linked job (if any)
- Condition notes
Managers can review who used a tool last and whether it came back on time.
tip
Make equipment checkout part of the daily routine — just like check-in. Workers take gear, check it out in the app, and return it at end of day.
