Task Statuses
Every task moves through clear statuses so everyone knows where things stand — without phone calls or guesswork.
Status flow
| Status | Meaning |
|---|---|
| New | Task created, not yet started |
| Assigned | Worker notified, not yet on site |
| In progress | Worker started the job |
| Waiting | Paused — waiting for parts, client, or approval |
| Done | Work completed and documented |
| Late | Past due date and not finished |
Statuses update automatically when workers check in, complete steps, or finish the job.
What managers see
From the task list or dashboard, managers can:
- Filter by status — see all late jobs at a glance
- See who is working on what right now
- Check how long a job has been in each status
- Spot bottlenecks — jobs stuck in "Waiting" too long
Automatic status changes
itsTrack updates status without manual input in most cases:
- Worker opens the job → In progress
- Worker completes all flow stages → Done
- Due date passes with no completion → Late
Managers can also change status manually when needed.
When a job is done
Completing a task triggers:
- Status changes to Done
- All photos, notes, and signatures are locked to the record
- A PDF report is generated automatically
- Machine history updates if a machine was linked
- KPI metrics update in analytics

Late tasks
Late tasks appear highlighted in the task list and in analytics. Managers can:
- Reassign to another worker
- Extend the due date with a note
- Contact the client to reschedule
