Task Chat
Every task in itsTrack has its own chat thread. All communication about that job stays in one place — no lost messages in personal WhatsApp or email.
Why task chat?
When a worker is on site and something is unclear, they need a fast answer. Task chat keeps all messages tied to the specific job.
- Office staff can clarify instructions
- Other workers can share tips if they serviced the same machine before
- Managers can follow the conversation without interrupting by phone
How it works
- Open any task.
- Go to the Chat tab.
- Type a message and send.
Messages appear instantly for everyone with access to that task. No page refresh needed — chat is real-time.
What makes it different from regular chat apps
| Regular chat app | itsTrack task chat |
|---|---|
| Messages scattered across apps | All messages linked to one job |
| Hard to find history later | Full chat history in the job record |
| No link to client or machine | Context: client, location, machine visible |
| Not part of reports | Chat can be referenced in job documentation |
Who can see task chat?
Access follows your role settings:
- Assigned workers — full read and write
- Managers and admins — full read and write on all tasks
- Other workers — only if they have access to that task or group
Clients do not see internal task chat. For client communication, use Magic Links.
Best practices
- Use chat for quick questions during active jobs
- Put important decisions in a note on the task too — notes appear in PDF reports
- Do not use chat for urgent safety issues — call directly
