Protocols and Forms
itsTrack includes a powerful form builder (called Protocols). You can recreate almost any company document as a digital form attached to a job.
What is a protocol?
A protocol is a custom form your workers fill out on site. Examples:
- Service inspection checklist
- Handover protocol with client signature
- Safety checklist before starting work
- Room-by-room inspection report
Form field types
You can build forms with:
- Text fields — short answers, notes
- Multiple choice — pick one or several options
- Star ratings — rate condition or satisfaction
- Photos — required or optional image uploads
- Signatures — client or worker signature capture
- Date and time — when something happened
- Yes/No toggles — quick pass/fail checks
Repeatable sections
Some forms need the same block of questions repeated — for example, one section per room or per machine.
itsTrack supports repeatable sections. The worker adds as many copies as needed during the job.
Visual templates
Customize how the exported PDF looks:
- Add your company logo
- Set header and footer text
- Choose colors and layout
- Match your existing paper forms
When the job is done, the filled form exports as a professional PDF.
Attaching a protocol to a task
When you create or edit a task, select a protocol template. The worker sees the form as part of their flow stages on site.
Completed forms save to the job record and machine history.
Building your first protocol
- Go to Protocols in settings.
- Click Create protocol.
- Add sections and fields.
- Set which fields are required.
- Preview the PDF layout.
- Save and attach to task categories.
Start by copying your most common paper form. Once workers use it in the field, you will quickly see what to improve.
