Creating Tasks
Tasks (or jobs) are the core of itsTrack. Everything starts here: a repair, an inspection, an installation, or a warehouse delivery.
What is a task?
A task is a unit of work with:
- A title and description
- A client and location
- Optional machine(s) linked
- Assigned workers or groups
- Category and tags for filtering
- Status — new, in progress, done, late
- Due date and priority
Creating a new task
- Go to Tasks and click Add task.
- Enter title and description — be clear so the worker knows what to do.
- Select the client, location, and machine (if needed).
- Pick a category (for example, repair, inspection, installation).
- Add tags for easy filtering later.
- Assign one or more workers or a group.
- Set due date and priority.
- Save.
The assigned workers get a phone notification right away.
Assigning workers and groups
You can assign:
- Individual workers — one person gets the job
- Groups — a whole team sees the job (for example, "North Region Technicians")
When you assign someone, they see the job in their mobile app with full details: what to do, where to go, and any required steps.
Categories and tags
Use categories for broad job types:
- Repair
- Preventive maintenance
- Installation
- Inspection
- Emergency call
Use tags for finer filtering:
warranty,urgent,contract-client,winter-service
This helps managers filter the task list and build reports later.
Linking to clients and machines
Always link tasks to the right client and location. If the job involves a specific machine, link that too.
This builds complete history — every repair, photo, and signature stays connected.
Write clear task descriptions. A worker in the field should understand the job without calling the office.
