Machines and Equipment
Every machine at a client site gets a digital record in itsTrack — like a digital twin of the real device.
This is the heart of service work: you always know what you maintain, where it is, and what happened to it before.
What each machine record contains
- Technical data
- Service history
- Status
- Machine name and type
- Serial number and manufacturer
- Model and installation date
- Photos of the device
- Technical documentation and manuals
- Linked client and location
- All past repairs and inspections
- Dates, workers, and notes from each visit
- Attached photos and signed protocols
- Full timeline — available in seconds
- Active — running normally
- In service — currently being repaired
- Needs maintenance — scheduled work due
- Decommissioned — no longer in use
Automatic numbering
The system gives each machine an automatic number. This removes confusion when you have many devices at one client site.
You can still search by serial number, name, or client.
Adding a machine
- Open the client (and location if needed).
- Click Add machine.
- Enter name, serial number, manufacturer, and photos.
- Set the current status.
- Save.
The machine is now linked to all future jobs at that site.
Why machine records matter
- Faster service — Worker sees full history before arriving.
- Planned maintenance — Schedule inspections based on machine status.
- Proof of work — Every repair links back to the machine record.
- Client trust — You show professional, complete documentation.
Linking machines to jobs
When you create a job, select the machine (or machines) involved. All photos, notes, and signatures from that job attach to the machine history automatically.
tip
Take a photo when you first register a machine. It helps field workers identify the right device on site.
